1. Who these terms are between

These terms govern your purchase of website, branding and recurring digital services from Citadel Media (“Citadel”, “we”). By completing checkout you agree to them.

Citadel Media LLC, a Montana limited liability company, registered at 714 E Mendenhall St, Bozeman, MT 59715.

2. What you are buying

Each tier is a one-time build. The build fee is charged at checkout. What each tier includes:

Ownership. The website we build for you is yours. It is delivered as a hardcoded, editable site that you own and can host, move, edit or take elsewhere at any time, and your ownership does not depend on keeping a recurring plan.

Hosting is yours, and we do not sell it. Citadel does not host your site, does not resell hosting, and adds no surcharge or markup on hosting of any kind. You choose and pay your own host and domain registrar directly, and the account is in your name. What we provide instead is a written owner’s guide covering how to register a domain, arrange hosting, publish the site, and edit and maintain it yourself. Nothing about your site depends on infrastructure we control.

Because hosting and uptime are outside our control, we are not responsible for downtime, data loss, or outages at your hosting provider.

Ownership of the finished website transfers to you on delivery. Citadel retains no licence over your site, your content or your brand, and keeps only the right to reference the completed work in its own sales and marketing materials. Third-party stock assets used in the build remain subject to their original licences.

What we do not guarantee. We do not guarantee search rankings, map-pack position, traffic volume, lead volume, call volume, conversion rate, or revenue. These depend on your market, your competitors, platform behaviour, and your own operations — none of which we control. Where we describe a measure, we are describing what we will report on, not a level we promise to reach. Any figure presented as modelled output is labelled as such and is not a forecast commitment.

Timeline. Launch builds are delivered within 24 hours of purchase, identity rebrands within 48 hours, Growth builds within 3 business days, and Authority builds within 7 to 10 business days, measured from the point we have the content and access we need from you. We do not deliver before the 24-hour cancellation window in section 8 has closed. Recurring plan services are implemented within 5 business days of delivery. If we miss a delivery window you may cancel for a full refund of the build fee.

3. Identity rebrand (optional add-on)

$399 one-time, available with the Launch tier. A new logo system plus ready-to-print business cards and a brochure, and a matching email signature.

The identity rebrand is already included in the Growth and Authority builds and is not charged again on those tiers.

4. Recurring operating plans (optional)

A recurring plan is optional. You can buy a build without one, and declining a plan does not change the build, its price, or your ownership of it.

Receptionist minutes are a monthly allowance and are measured per calendar month.

Unused receptionist minutes do not roll over. Usage beyond your plan’s monthly allowance is billed at $0.12 per minute, or $0.20 per minute for burst usage above normal capacity. Calls are recorded and transcribed in order to operate the service and maintain quality.

Search and content work. SEO, GEO and content services are ongoing professional services. We do not guarantee any particular ranking, traffic level, call volume, or revenue outcome, and no statement made during a sales conversation should be read as such a guarantee.

5. When you are charged

1. The build fee (plus any add-on) is charged in full at checkout.
2. Your payment method is securely saved at that time so that a recurring plan, if you took one, can begin later without you having to return.
3. If you took a plan, nothing recurring is charged until your build is delivered. The build window is 30 days from purchase.
4. Recurring charges then run monthly on the same date until the plan ends or is cancelled.

6. Promotional pricing — Fall 2026 offer

Promotion code FALL2026 applies the following, and applies to the one-time build and add-on prices only. Monthly plan prices are not discounted.

Plan term under this promotion

Taking a recurring plan with code FALL2026 commits you to a 13-month term, of which the first month is free. The free period runs from the end of your build window, so the first charge falls 30 days plus 1 month after purchase. You may cancel at any point before that first charge at no cost. The plan is set to end automatically at the close of the 13-month term rather than roll on.

If you cancel part-way through a committed term you are billed for the current month plus a $100 cancellation fee. The promotional discount is not clawed back.

At the end of the committed term the plan renews at standard price. We give 30 days notice before the first standard-price charge.

This promotion ends 10/31/2026.

7. Cancellation

A recurring plan can be cancelled by contacting us. Cancellation stops future charges; it does not remove your ownership of the website already delivered to you.

Cancel with 30 days written notice. Cancellation takes effect at the end of your current billing period, and the current period is not refunded. If we hold a receptionist number for you, we will port it to a provider of your choice on request within 30 days of cancellation.

What you keep. Whether you cancel, refund, or simply stop, you keep your domain, your site content, your brand files, and access to any account created in your name. Transfer happens within ten business days of the final billing period. We do not withhold assets to encourage renewal, and we do not require a call before processing a cancellation.

8. Refunds

You may cancel and receive a 50% refund of the build fee by contacting us in writing within 24 hours of purchase, provided your build has not yet been delivered. We do not deliver inside that 24-hour window, so this option is always available to you. Once your build is delivered, ownership has transferred to you and the purchase is non-refundable. If we fail to deliver your build, you are entitled to a full refund of the build fee. Recurring plan payments are refundable for the current period only if no receptionist minutes have been used and no content work has been delivered in that period. Refunds are returned to the original payment method and typically appear within 5 to 10 business days.

What is not refundable. Third-party costs already incurred on your behalf — domain registration, stock licences, paid plugins — where those are non-recoverable. Work completed to the agreed scope where the dissatisfaction is with a commercial outcome we never guaranteed, such as search position or lead volume. Delay caused by information or approvals we asked for and did not receive. Requests made after you have asked us to transfer your assets out and we have done so, since the work has by then been delivered in full.

How to request a refund. Email office@thecitadelmedia.com or call(406) 570-0742. Tell us what was agreed and what you did not receive. You do not need to fill in a form or quote a clause. We acknowledge within one business day and resolve within five business days. Refunds are returned to the original payment method.

Disputes and chargebacks. Please contact us before contacting your bank. A dispute raised with us directly is usually resolved within a day; one raised through a processor takes weeks and gives us no way to fix the underlying problem. We keep delivery evidence — scope, correspondence and handover records — and will share it with you on request, not only with a processor.

9. What we need from you

• Accurate information about your business, services and service area.
• The right to use any logo, photography, text or review content you give us, and confirmation that any licence or certification claim you ask us to publish is true and current.
• Timely responses during the build so delivery is not delayed.
• Your own domain registration, unless you ask us to handle it.

We will not publish a claim on your behalf that we cannot substantiate from what you have given us.

10. Payments and security

Payments are processed by Stripe. Citadel Media does not receive, see or store your full card number. Charges appear on your statement with a descriptor including “CITADEL”.

11. Changes to these terms

The terms that apply to your purchase are the ones published at the time you bought. Changes are not retroactive.

These terms are governed by the laws of the State of Montana, and any dispute arising from them will be brought in the state or federal courts serving Gallatin County, Montana. Our total liability for any claim arising out of this agreement is limited to the fees you paid us in the twelve months before the claim arose. We are not liable for lost profits, lost revenue, lost business, or lost data, whether or not we were told such losses were possible. Services are provided with reasonable skill and care; beyond that we give no warranty, express or implied, that the services will be uninterrupted, error-free, or will achieve any particular commercial result. Nothing here limits liability for fraud, for death or personal injury caused by negligence, or for anything else that cannot be limited by law.
